If somebody requests that you review an expenses claim, you'll receive an email notification with a link to the claim.
You will also see a banner when you login to claimexpenses with a link to your list of outstanding reviews.
Submitting your review
You'll be able to submit your review in the form below the claim details. You can select whether to approve or reject the claim, and add an optional comment.
If you reject the claim, we'll email the user who submitted it, including any comment you've entered. We recommend always adding a comment to explain to the user why you've rejected the claim, but it is not mandatory.
The rejection email explains that users may wish to make corrections to their claim before requesting another review.
Escalating to another reviewer
You might want to forward the claim to another reviewer in your organisation - for example if you have a process that requires multiple approvals in sequence.
Once you submit your own review, you'll be able to request more reviews in the usual way.
Reviewing a claim without it being requested
If you are an administrator or finance administrator, you can add your review to any submitted claim without it being specifically requested.
Simply click through to view the claim details in the usual way, pick your own name from the "Select reviewer" dropdown and click "Request review" as usual. You'll then see the review form and be able to submit your review. Note that we won't send you an email if you request a review from yourself.
If you only have the Reviewer permission, you cannot access another user's claim unless someone specifically requests that you review it.
If you make a mistake
Once you submit a claim review, it cannot be edited or deleted. This is part of ensuring that the system provides a robust and tamper-proof audit history for your financial data.
If you make a mistake submitting your review - for example, you approved it but you wanted to reject it - just request another review from yourself and submit the correct response. This will be stored and displayed after your original submission.
